We are looking for an experienced Office Administrator to run the office for our HVAC company in San Diego, California. Please see below to learn more about this position and email [email protected] if you or someone you know would be a good fit to join our rapidly growing team.

Job Duties
  • Mon-Fri from 9:00am - 5:00pm
  • Answer phones
  • Set-up appointments and daily agendas, specifically for our service department / technicians
  • Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted
  • Review and approve accounts payable and bi-weekly check runs.
  • Billing and invoicing
  • Create and send contracts
  • Filing and record keeping
  • Maintain knowledge of Tech Air's Core Values
  • Organize special meetings and functions
  • Responsible for ordering office supplies and maintaining a clean office work environment
  • Work in fast-paced team environment while managing several tasks at one time
  • Perform additional assignments per management’s direction

Qualifications:
  • High School Diploma or GED and 1-year related experience and/or training
  • Intermediate knowledge of Microsoft Office Word, Excel, PowerPoint and Outlook
  • Outstanding customer service skills with great communication skills
  • Must have experience and knowledge of Quick Books to input data (some training available)
  • Computer savvy with great typing skills
  • Ability to prioritize independently in a small office work environment
  • Great time management
  • Organized and self-sufficient with the ability to multi-task
  • Construction or HVAC industry experience preferred
  • Full-time
  • Upward mobility into Office Manager role very likely

Experience:
Office Management: 1 year +(Preferred)

Education:
High school or equivalent (Required)

License:
Driver's License (Required)

Work authorization:
United States (Required)

Thank you for taking the time to read!

The skills that I’ve gained through formal education and previous work experience, are pertinent to an Operations Manager or General Manager role in some capacity, and I would like to be considered.

In my current role as Permit Manager, I have and continue to:

-Hire and train all new staff

-Designed & maintain a permit tracking system by prioritization

-Increase revenue yearly by a minimum of 10%

-Dispatch a crew of 7-10 daily

-Create new client set-up files & sales

-Oversee correspondence center (mail room) to ensure all packages go out in a timely manner

-Liaison for 20–40 clients on a daily basis

-Designed presentations & training manuals for company staff

-Strong knowledge of over 100 building departments

-Firm knowledge of Title 24 & HERS testing

-Familiarity with building codes for over 100 cities in California

-Day-to-day use of basic Microsoft office applications

I pride myself on lightning fast response time and dependability. If anybody understands how urgent and time sensitive projects are, I do!

Collaborating with teammates and working 100% independent are both something that I am comfortable with, and I enjoy either.

Coming from a leadership background in school & previous work roles, I hope to inspire and continue to be inspired during my future career.

The biggest skill that I bring to the table is compassion. Not only for customers, but fellow coworkers as well.

Customer service has always been my #1 priority in my last 20 years of experience working throughout customer service based industries.

I've been using Lockey Air for my HVAC maintenance for years, and they always deliver top-notch service. Their technicians are knowledgeable, friendly, and always leave the place clean. Never had an issue with their work.
